General Booking Terms and Conditions

Ilola Inn Oy

These terms and conditions apply to accommodation reservations made by individual persons unless a separate written agreement has been concluded.

These terms do not apply to reservations made by individuals for groups exceeding ten (10) persons. Separate group booking terms may apply in such cases.

These terms also apply to accommodation reservations made online through the Ilola Inn website.

The hotel reserves the right to adjust prices if such changes result from amendments to value added tax (VAT), legislation, or other public charges imposed by authorities after the reservation has been confirmed or during any agreed contractual period with the customer. The customer will be notified of such changes separately.

1. Reservation and Confirmation

When making a reservation, the customer must provide their name, residential address, arrival and departure dates, and method of payment.

A reservation becomes binding on the hotel once it has been confirmed verbally, in writing, or electronically (for example by email) and the customer has received a reservation confirmation number.

The hotel may make the confirmation of a reservation conditional upon specific requirements, such as payment of a reservation fee or an agreed advance payment.

2. Arrival and Departure

The reserved room will be available to the customer from 3:00 p.m. on the day of arrival, and the room must be vacated no later than 12:00 noon on the day of departure, unless otherwise stated by the hotel.

The hotel may apply different arrival and departure times where separately indicated.

For security reasons, access to hotel rooms and other reserved facilities is restricted to hotel staff and registered guests. The maximum occupancy specified for each room or facility must not be exceeded.

Unless otherwise agreed at the time of reservation or unless specific conditions apply to the selected rate or booking period, the reserved room will be held until 8:00 p.m. on the indicated arrival date.

If the customer expects to arrive later than this time, the late arrival must be confirmed with the hotel. Failing such confirmation, the hotel reserves the right to release the room for resale.

If the customer arrives during the hotel’s official check-in hours but the reserved room is not available, the hotel shall, at no additional cost to the customer, arrange the nearest available accommodation of a comparable standard.

3. Cancellation and Failure to Arrive

Accommodation reservations at Ilola Inn are binding once the reservation confirmation has been issued. Upon receiving the confirmation, the customer has entered into a binding agreement for the purchase of accommodation services from Ilola Inn.

The cancellation and modification conditions applicable to the reservation are determined by the terms communicated at the time of booking.

Unless a right of cancellation has been expressly stated in the reservation confirmation or offer, payments made for the reservation are non-refundable, even if the customer cancels the reservation, changes their travel plans, or fails to arrive at the accommodation.

In the event of a no-show, the hotel is entitled to charge the full price of the reservation, including applicable taxes and any additional services associated with the booking.

Ilola Inn recommends that customers obtain adequate travel insurance to cover potential cancellation situations such as illness or other unforeseen circumstances.

4. Modification or Cancellation in Exceptional Circumstances and Force Majeure

Ilola Inn reserves the right to terminate or cancel an event or reservation if it interferes with other hotel operations or if it jeopardizes the hotel’s reputation or safety.

The hotel also reserves the right to cancel or modify reservations due to circumstances beyond its control, including but not limited to strikes, lockouts, fire, significant disruptions in services or supplies, or other comparable circumstances. The hotel shall not be liable for damages arising from such circumstances.

Cancellation of an event outside the standard booking and cancellation terms may be permitted if public authorities impose restrictions prohibiting public gatherings (such as during a pandemic) within the premises or area of Ilola Inn. In such cases, the parties will primarily seek to agree on an alternative date for the event.

The customer may cancel or modify a reservation due to force majeure, such as natural disasters, war, or a general strike (note: ordinary individual strikes are not considered force majeure), or where the agreement between the parties explicitly lists certain circumstances such as epidemics as force majeure events.

If the situation does not qualify as force majeure and the cancellation occurs too late under the agreed terms, the hotel is entitled to charge the agreed price for the reserved services.

5. Payments

The hotel accepts the most common payment cards and cash in euros. However, the hotel is not obligated to accept foreign currencies, vouchers, cheques, or all payment cards.

Unless the accommodation has been prepaid, payment for the room must be made upon arrival at the hotel, either in cash or by credit card.

At check-in, the hotel reserves the right to pre-authorize the full amount of the accommodation on the customer’s credit card.

The hotel also reserves the right to charge the credit card used for the reservation afterwards for any purchases not declared by the customer and/or for damaged property related to the stay.

6. Guest Conduct

Guests are expected to observe good conduct and the hotel’s rules and regulations while staying at Ilola Inn.

If a guest violates these rules, the hotel reserves the right to remove the guest from the premises immediately. In such cases, the guest remains liable for the full price of the accommodation and any ordered additional services, and no refund will be granted for payments already made.

For security reasons, only registered guests are permitted access to hotel rooms and other reserved areas. The maximum occupancy of rooms or facilities must not be exceeded.

7. Liability for Guests’ Property

Guests may keep valuables in their rooms. Ilola Inn shall not be liable for property kept in guest rooms.

The hotel is not responsible for any damage to or loss of vehicles parked in the parking area or for property left inside such vehicles.

8. Guest Liability for Damages

Guests are liable for any damage caused intentionally or negligently by themselves, their guests, or their pets to the hotel room, other hotel premises, furniture, equipment, other guests, or their property.

Liability for damages shall be determined in accordance with general principles of liability for damages under applicable law.

9. Accommodation of Minors

Only persons 18 years of age or older may make a room reservation.

A person reserving a room for a minor is responsible for the minor regardless of whether they stay at the hotel together.

A minor staying alone must present a written authorization signed by their legal guardian, stating the minor’s name, date of birth, and the dates of accommodation. The guardian’s name and telephone number must also be provided.

10. Pets

Pets are welcome on the Ilola Inn summer terrace.

Pets are not permitted in hotel rooms.

11. Use of Open Flames

The use of open flames, gas grills, candles, or similar items in guest rooms or other hotel premises is strictly prohibited.

Any guest violating this rule shall be liable for all direct and consequential costs resulting from such actions.

12. Suspension or Refusal of Service

The hotel reserves the right to refuse or cancel reservations made by a particular customer or group if the customer fails to comply with these booking terms or if the service provider has reasonable grounds to suspect that hotel capacity is being reserved for unlawful purposes or in a manner that may cause damage or risk of damage to Ilola Inn.
